The Village Quire – Privacy Notice

Introduction
The Village Quire (‘the Quire’) has as its objective the performance of music and the provision of workshops to educate others about the sort of music it performs.

The Village Quire is committed to respecting your privacy and this policy tells you about how it collects, uses and shares your personal data. The Village Quire is the data controller for the purposes of data protection law. All data held will be kept within the EEA and protected by the General Data Protection Regulations.

Who is responsible for data?

What are our lawful bases for processing?
Consent
: you have given us clear consent to process your personal data for a specific purpose. Typically, this will be if you consent to be on our mailing list.

Legitimate interests: the processing is necessary for our shared legitimate interests. A typical example would be regarding your attendance at a specific event organised by The Village Quire.

What information is being collected?
In order to function, The Village Quire needs to collect information from you. It will only be collected where lawful and where it is necessary for the legitimate purposes of the Quire. When collecting data, we will always explain why it is needed.

Information may be collected from members of the Quire and its associated performers, audience and workshop members, volunteers, supporters, and business contacts.

Members
When you first join the Quire, we collect your name, contact details (email address, phone and postal address and voice part) so that we can administer your membership and provide you with information about rehearsals, concerts and other musical events. We do not obtain any information about you from third parties unless we have your specific consent.

We may receive information from you about your health, eg if you are unable to attend rehearsals. This is not stored but may be shared between members of the Committee unless you request otherwise.

For prospective members we collect your name, email, phone number and voice part for the purposes of administering your application and letting you know about the outcome of it.

If you are under 18 we will seek consent from your parent or legal guardian for the information about you which we store, process or share.

Supporters
If you support the Quire, eg by attending our concerts or signing up to email updates, we may collect your email address for the purposes of letting you know about activities related to the Quire and related music events in the area.

Your data is not shared with any other organisation in any way.

Ticket purchasers
Data you provide for the purpose of booking tickets for our events is held by the organisers of that event and the security of that data rests with the event Organiser. If the Organiser is The Village Quire, please refer to ‘Supporters’ above.

Associated performers, business contacts and volunteers
Names and contact details (as well as information relating to our involvement) will be collected when you take up a position or are engaged by the Quire and will be used to contact you regarding Quire administration related to your role.
